Job description

Position Overview

We are seeking an exceptionally organized, detail-driven Associate to join our team strictly on-site at our facility. This role focuses primarily on desk operations—handling high-volume email correspondence with interior designers, building custom quotes, managing physical samples, and coordinating freight logistics. Additionally, you will meet with interior designers and private clients in our showroom on an appointment-only basis to present custom capabilities and offer guidance on furniture layouts.

Key Responsibilities

Desk Operations, Quoting & Client Correspondence

  • Client Email Management: Direct primary communication with interior designers, architects, and private clients, answering detailed technical and customization inquiries prompt and professionally.

  • Custom Quoting: Generate precise pricing and specification sheets based on client dimensions, wood species, finishes, frame designs, and textile options.

  • Meticulous Order Tracking: Process incoming orders, issue invoices, track deposits, and organize custom build documentation to keep operations running smoothly.

By-Appointment Showroom Consultations

  • Appointment-Only Meetings: Host scheduled visits with designers and clients, guiding them through physical furniture models, cushion fills, and construction details.

  • Spatial & Scale Evaluation: Assist clients in visualizing 3D shapes, volume, clearance, and scale to ensure custom pieces fit seamlessly into their project floor plans.

Sampling & Material Management

  • Sample Room Maintenance: Keep our physical material library (wood finish blocks, lacquer chips, stone slabs, and trade fabrics) meticulously organized and cataloged.

  • Fulfillment & COM/COL: Package and ship sample sets to design firms, and manage Customer’s Own Material/Leather approval workflows and physical strike-offs.

Freight & Shipping Logistics Support

  • Logistics Quoting: Gather accurate freight, crate, and shipping costs from carrier partners for domestic and international deliveries.

  • Delivery Tracking: Maintain organized logs of active shipments, communicate lead times to clients, and coordinate white-glove delivery details.

Qualifications & Requirements

  • Work Environment: Strictly On-Site. Must be based locally and work out of our facility daily.

  • Organizational Mastery: Highly organized with extreme attention to detail; capable of managing dozens of active email threads, sample requests, spreadsheets, and freight quotes simultaneously without dropping the ball.

  • Experience Level: Open to all experience levels—whether you are just starting out or an experienced professional, all qualified candidates will be reviewed.

  • Spatial & Physical Intuition: Strong natural grasp of real 3D objects, shapes, scale, massing, and spatial relationships within room layouts.

  • Communication Skills: Professional, polished email writing skills and comfort speaking directly with trade professionals during appointments.
