Responsibilities:

Patient Reception and Communication:

Greet patients and visitors warmly as they arrive at the clinic, ensuring a friendly and professional atmosphere.

Answer incoming phone calls promptly, addressing inquiries, scheduling appointments, and handling patient-related questions with courtesy and efficiency.

Respond to emails and other forms of communication in a timely and informative manner.

Appointment Scheduling and Coordination:

Manage the appointment schedule for chiropractic consultations, adjustments, and other treatments, optimizing appointment slots to maximize the doctor's time and patient flow.

Coordinate rescheduling and cancellations, maintaining open communication with patients and ensuring their needs are met.

Patient Records and Documentation:

Maintain accurate and up-to-date patient records, including personal information, medical history, insurance details, and consent forms, adhering to patient confidentiality and data protection guidelines.

Input patient information into the clinic's electronic health record (EHR) system and verify insurance coverage as necessary.

Administrative Support:

Assist in managing administrative tasks, such as filing, scanning, photocopying, and organizing documents to ensure a well-organized and efficient front desk operation.

Process payments, issue receipts, and manage billing inquiries to ensure smooth financial transactions.

Insurance Verification and Billing:

Verify insurance coverage for patients and communicate relevant information regarding coverage and payment options.

Coordinate insurance billing and claim submission, following up on any outstanding payments or discrepancies.

Clinic Maintenance and Supplies:

Maintain a tidy and welcoming reception area, ensuring it reflects the clinic's professional image.

Monitor inventory levels of office supplies, forms, and patient education materials, placing orders when necessary.

Team Collaboration:

Work closely with chiropractors and other clinic staff to facilitate patient care and ensure seamless clinic operations.

Communicate patient-related updates and important information to the appropriate healthcare providers.

Qualifications:

High school diploma or equivalent; additional education or relevant certification is a plus.

Proven experience as a front desk coordinator, receptionist, or customer service role is advantageous.

Excellent communication and interpersonal skills, with a friendly and welcoming demeanor.

Strong organizational abilities and the ability to handle multiple tasks efficiently.

Proficient in using computer software, including email, Microsoft Office, and scheduling systems.

Knowledge of medical terminology and insurance verification processes is beneficial.

Attention to detail, accuracy, and commitment to maintaining patient confidentiality.

Ability to remain composed in a fast-paced and sometimes demanding environment.
