About the Role

We’re looking for a motivated and organized Operations Assistant / Coordinator to help manage and streamline day-to-day activities for our music group Global Heat and associated performing artists in the nonprofit Global Artists Collective (https://www.globalartistscollective.com). This role is perfect for someone who’s passionate about Soul/R&B, Funk, Hip Hop, and WorldBeat music, enjoys organization and logistics, and thrives in a fast-moving creative environment.  Our ensembles are professional and experienced.  You'll have opportunities to learn about the world of theatre performances, touring, and event production & promotions.  

You’ll work closely with band members and management to coordinate schedules, book gigs, and ensure all events and rehearsals run smoothly. This is a hybrid role based in Seattle, WA, offering a mix of remote work and on-site participation for rehearsals or performances.  

Key Responsibilities

  • Research and identify potential gigs, venues, and performance opportunities.

  • Support the booking process, including communication with venues, event organizers, and promoters.

  • Schedule and maintain rehearsals, gigs, and events using Google Calendar (and distribute updated calendars to band members) and other tools.

  • Track and confirm availability of band members, venues, and supporting acts.

  • Help coordinate logistics such as timing, equipment setup, and transportation details.

  • Keep the team informed with timely updates and reminders about upcoming commitments.

Qualifications

  • Strong organizational and communication skills — you’re detail-oriented and reliable.

  • Comfortable using tools like Google Calendar, email, Microsoft Word, and Excel spreadsheets.

  • Interest or background in music, events, or entertainment coordination is a plus.

  • Ability to work independently and manage multiple moving parts at once.

  • Positive attitude and collaborative mindset — you enjoy keeping things on track.

Role Details

  • Location: Offices in Woodinville WA and Seattle, WA (Hybrid — mix of remote coordination and occasional in-person attendance)

  • Schedule: Flexible hours, depending on event and rehearsal needs

  • Compensation: To be discussed with selected candidates.  Likely commission based to start.  

  • Engagement Type: Internship, part-time, or short-term contract
