We are looking for a highly organized, proactive Executive Assistant to support a senior executive and help keep their time, communication, and priorities running smoothly.
This person will act as a force multiplier: managing scheduling and logistics, staying ahead of follow-ups, coordinating across internal and external stakeholders, and helping ensure important work does not fall through the cracks.
The ideal candidate is highly reliable, detail-oriented, discreet, and comfortable operating in a fast-moving environment with changing priorities.
Responsibilities
- Own and manage a complex calendar, including meetings, travel, deadlines, and competing priorities
- Coordinate meetings across internal teams, customers, partners, investors, and other external stakeholders
- Prepare the executive for meetings with relevant context, materials, agendas, and follow-up items
- Track action items and proactively follow up with owners
- Manage travel planning, itineraries, reservations, and logistics
- Draft and manage emails, messages, documents, and other communications as needed
- Help prioritize inbound requests and protect the executive’s time
- Coordinate team events, offsites, dinners, and other logistics
- Handle expenses, reimbursements, and administrative tasks
- Maintain a high level of confidentiality and discretion
- Identify recurring operational problems and build lightweight systems to make the executive and team more effective
- Step into miscellaneous high-priority projects when additional ownership is needed
What We’re Looking For
- 2+ years of experience in executive support, operations, recruiting, hospitality, or another highly organized and service-oriented role
- Excellent written and verbal communication
- Strong judgment and ability to prioritize independently
- Extremely high attention to detail
- Comfortable working with incomplete information and changing priorities
- Strong follow-through and a bias toward action
- Ability to communicate effectively with people across levels and functions
- High degree of discretion, professionalism, and trustworthiness
- Comfortable with tools such as Google Calendar, Gmail, Docs, Sheets, Slack, and Notion
Nice to Have
- Experience supporting a founder, executive, investor, or senior technical leader
- Experience in a startup or other fast-paced environment
- Familiarity with the technology or AI ecosystem
- Experience coordinating complex travel, recruiting, events, or external relationships

A great Executive Assistant makes the executive substantially more effective. Their calendar reflects their real priorities, meetings are well prepared, follow-ups happen without prompting, logistics feel effortless, and important details are consistently handled before they become problems.
