Job description:
We are seeking a dynamic and detail-oriented Administrative & Accounts Receivable (AR) Coordinator to join our team. In this vital role, you will manage a variety of administrative functions while assisting accuracy and timeliness of the accounts receivable processes. You will play a key part in maintaining financial integrity, supporting client relationships, and streamlining revenue cycle management. Location: Pomona, CA Schedule: Full-time, M–F (In-office)
Pay Range: $26–$30/hour (DOE)
Responsibilities:
Administrative Support (Primary Focus)
·Manage daily office operations, emails, and document organization
Maintain job files, contracts, and project-related paperwork
Coordinate communication between office, field crews, and customers
Billing & Collections
Assist withPreparing and sending invoices based on job progress
Track aging reports and follow up on outstanding balances
Assist with lien-related tracking (prelims, deadlines) Accounts Payable Support
Enter vendor invoices and organize documentation
Assist with tracking due dates and preparing payments
Assist with audit preparations by organizing documentation related to accounts receivable and financial transactions.
Ensure timely follow-up on overdue accounts through professional phone etiquette and negotiation tactics.
Skills
Strong knowledge of basic accounting principles
Proficiency in accounting software such as QuickBooks; experience with financial software is highly preferred
Strong organizational skills for handling multiple tasks related to accounts receivable and administrative duties simultaneously.
Effective communication skills for negotiation with clients and providing exceptional customer service over the phone or email.
Knowledge of financial concepts related to revenue cycle management and technical accounting practices.
