Job description

We are currently seeking a Remote Executive Specialist to provide vital support to our senior leadership team in various administrative, operational, and project-related tasks. The role will involve managing executive priorities, coordinating schedules and meetings, preparing important documents, and handling confidential information. The Executive Specialist will play a crucial role in ensuring that essential tasks are completed accurately and within established timelines.

Responsibilities:
- Manage executive calendars, appointments, meetings, and schedule changes
- Coordinate virtual meetings, agendas, presentations, and follow-up items
- Prepare, edit, proofread, and organize business correspondence and documents
- Monitor emails and requests to ensure proper follow-up
- Coordinate travel arrangements and itineraries when needed
- Maintain confidential company and executive information
- Track projects, deadlines, action items, and deliverables
- Communicate professionally with internal teams, clients, vendors, and external partners
- Prepare reports, spreadsheets, presentations, and meeting materials
- Assist with special projects and executive initiatives
- Keep organized digital files and records
- Identify administrative issues and help improve workflows
- Manage multiple priorities while maintaining accuracy and professionalism

Qualifications:
- Excellent written and verbal communication skills
- Strong organizational and time-management skills

  • Must be authorized to work in the United States
  • - Ability to handle confidential information professionally
    - Comfortable working independently in a fully remote setting
    - Proficient with Microsoft Office, Google Workspace, Zoom, Slack, or similar tools
    - Able to manage competing priorities and meet deadlines
    - Previous experience as an executive assistant, in administration, operations, or coordination is preferred
