Job description

ARTIMIS Theatrical Productions is seeking a dependable, articulate, and highly organized Office Administrative Associate to support our day-to-day business and entertainment-production operations.
This is a dedicated administrative position—not a pathway to acting, modeling, casting, or on-camera opportunities. We are looking for someone who takes pride in excellent customer service, professional communication, and reliable follow-through.
The ideal candidate is coachable, brings entertainment-industry knowledge and relevant work experience, and can give the position their full attention during scheduled working hours.
Responsibilities
• Answer, screen, and direct telephone calls with exceptional professionalism and courtesy.
• Communicate clearly and accurately with clients, production contacts, vendors, and members of the public.
• Manage email correspondence, calendars, appointments, and meeting coordination.
• Maintain organized records, contact lists, files, and office documents.
• Assist with administrative needs related to theatrical and entertainment projects.
• Prepare and proofread correspondence and other business materials.
• Track assignments, meet deadlines, and follow through without repeated reminders.
• Handle sensitive information with discretion.
• Accept direction, apply feedback, and adapt to changing priorities.
Required Qualifications
• Superior telephone etiquette, active-listening ability, and verbal communication skills.
• Excellent command of written and spoken English, including grammar, spelling, and professional correspondence.
• Strong customer-service skills and a calm, respectful manner.
• Knowledge of the entertainment industry and prior work experience in entertainment, theater, film, television, live events, or a related business.
• Relevant administrative, office-support, scheduling, or customer-service experience.
• Strong organizational skills, attention to detail, punctuality, and dependability.
• A willingness to learn established procedures and respond constructively to coaching.
• Comfort using email, calendars, word-processing software, spreadsheets, and digital filing systems.
• Availability to meet the agreed work schedule without conflicting professional commitments.
Professional Focus and Workplace Expectations
This role requires a genuine commitment to administrative work. It is not intended to provide representation, auditions, casting access, or opportunities to promote a personal performing career.
Outside work, auditions, bookings, or other commitments must not interfere with scheduled hours, attendance, confidentiality, or job performance.
Employees are expected to maintain a respectful, nonpartisan approach when representing ARTIMIS. Personal political beliefs are private; political advocacy must not interfere with work or professional relationships.
Military and First-Responder Community
We especially welcome applications from:
• Military veterans.
• First responders, including those transitioning into administrative work.
• Spouses, children, and other relatives of veterans or first responders.
• Individuals with experience supporting military members, veterans, first responders, or their families.
Candidates should describe any relevant service, family connection, or support experience they wish to share, along with the professional skills they would bring to the position.
How to Apply
Send your résumé and a brief cover letter to [insert application email] with the subject line:
