About Us
We are a growing, privately owned fee-for-service dental practice in the greater Houston area. We are not a corporate chain and not an insurance mill — we run a quality-first practice where patients pay for excellent care and expect an excellent experience. We’re looking for an office manager who can own the business side of the practice so our clinical team can focus on dentistry.
The Role
You will run the day-to-day operations of the office and be accountable for its financial and operational performance. This is a hands-on leadership role, not a figurehead position. You report directly to the owner.
What You’ll Own
• Revenue cycle: treatment plan presentation and financial arrangements, collections at time of service, accounts receivable follow-up, and insurance claims processing (we are out-of-network/FFS — you must be comfortable presenting fees confidently and handling out-of-network benefit verification and claims)
• Scheduling & production: building and protecting a productive provider schedule, minimizing no-shows and open chair time, managing recall and reactivation
• Team management: hiring, onboarding, scheduling, and performance management for front office and clinical support staff; running effective morning huddles and monthly team meetings
• Patient experience: owning the phones, the front desk, reviews, and patient complaints from first call to resolution
• Reporting: tracking production, collections, case acceptance, new patients, and AR aging; reporting monthly KPIs to ownership
• Compliance & operations: OSHA/HIPAA compliance, vendor management, supply ordering within budget, and facility upkeep
Requirements
• 3+ years of dental office management experience (dental required — medical office experience alone will not qualify)
• Open Dental proficiency is required. You should be fluent in scheduling, treatment planning, insurance/payment allocation, and reporting within Open Dental.
• Proven track record with collections and case acceptance in a FFS or predominantly out-of-network practice (strongly preferred)
• Experience hiring, training, and managing a team of 3+
• Strong command of dental insurance: verification, claims submission, EOB reconciliation, and appeals
• Professional, confident communication — you will be presenting four- and five-figure treatment plans
Nice to Have
• Experience in a holistic/biological dental setting or comfort with that patient philosophy
• Multi-location or startup/scaling practice experience
• Bilingual (English/Spanish)
