Vehicle Reception Associate

MATUS International is seeking a dependable and detail-oriented Vehicle Reception Associate to join our Philadelphia operations team. This position is responsible for receiving vehicles, verifying their information, documenting their condition, and entering accurate records into the SIMI system.

The ideal candidate is organized, comfortable using a smartphone and computer system, and able to identify and document vehicle damage accurately. This role is essential to protecting customer vehicles and preventing claims.

Primary Responsibilities

• Receive vehicles delivered to the MATUS facility.
• Locate each vehicle in SIMI using its assigned lot number.
• Verify the VIN, lot number, make, model, color, and other identifying information.
• Confirm whether keys are present and accurately document the number of keys received.
• Inspect the exterior and interior of each vehicle carefully.
• Identify and document scratches, dents, broken parts, missing pieces, or other pre-existing damage.
• Take clear photographs of the vehicle’s front, rear, sides, roof, wheels, windshield, interior, VIN, keys, and existing damage.
• Photograph any loose parts or personal items found inside the vehicle.
• Ensure photographs are clear, complete, and uploaded to the correct vehicle record.
• Mark the windshield “Ready/Listo” with the required date after completing the reception process.
• Report discrepancies, missing information, serious damage, or safety concerns to management immediately.
• Coordinate with drivers, yard personnel, and the loading team as needed.
• Help maintain an organized and safe vehicle-reception area.
• Follow all MATUS International SOPs, quality-control standards, and safety requirements.
