About the Role
We are looking for a Marketing Project Coordinator to join our in-house marketing team in Chicago. This is a coordination and execution role, not a strategy role. You will be the person who keeps projects organized, ensures guest-facing information is accurate, and makes sure nothing falls through the cracks across a busy multi-concept portfolio.
Day-to-day, that means managing tasks in Asana, updating Squarespace websites, supporting Mailchimp email campaigns, coordinating influencer and PR visits, proofing menus, and following up with operations, culinary, sales, and creative teams to keep things on track. The role touches a wide range of marketing functions, but the throughline is always the same: organized, accurate, and done on time.
This role is genuinely cross-functional. You will interact regularly with every department at Atomic, including operations, culinary, sales, events, and venue management, making communication skills and professional follow-through just as important as marketing knowledge.
You will work closely with the Director of Marketing, Creative Director, Social Media Manager, and Graphic Designer as part of a small, hands-on team where everyone owns their lane and supports each other across it.
This is a strong fit for someone with 1 to 3 years of experience in marketing, hospitality, events, or a related field who is ready to take real ownership of recurring projects in a busy, multi-venue environment. This is a full-time, on-site role based in Chicago.
What You'll Do
Project Management and Team Coordination
Manage marketing tasks and timelines in Asana across events, menu updates, creative requests, email campaigns, and recurring projects.
Build and maintain checklists to make projects easy to track from kickoff to completion.
Follow up with team members on missing details, approvals, and open items
Take meeting notes and organize next steps as needed
Help coordinate communication between marketing, operations, culinary, sales, PR, creative, and venue teams
Menus, Websites, and Guest-Facing Details
Create and update menus for digital and print use across Atomic concepts
Track menu changes through approved change documents and confirm updates with GMs, chefs, and operations before anything goes live
Proof menus and web content for accuracy, spelling, pricing, formatting, and venue-specific details
Update Squarespace websites with current copy, images, menus, event information, and embedded content
Test links, buttons, forms, ticketing pages, and widgets to make sure everything is working correctly
Email Campaigns and Event Support
Build and manage weekly Mailchimp campaign tasks, including copy, links, dates, offers, and graphics coordination with the creative team.
Review campaigns for accuracy before sending to the Director of Marketing for final approval.
Schedule and send approved email campaigns
Coordinate event details across websites, email, social calendars, ticketing pages, and with venue teams to ensure all information is consistent.
PR, Influencer, and Media Coordination
Support PR requests for in-house events, influencer visits, media segments, and company updates.
Coordinate influencer reservations, share details with venue teams, update tracking spreadsheets, and send Google Calendar invites to operations.
Help coordinate media hits by confirming team availability, communicating with venues, and organizing any necessary materials.
Attend media hits when available to support setup and execution
Marketing Operations and Admin
Maintain a centralized weekly marketing spreadsheet covering events, programming, hours, entertainment, and key updates across concepts
Order printed collateral and branded materials, manage vendor communication and production timelines, and deliver materials to venues as needed
Manage Surreal platform needs, including website widgets and monthly performer graphics
Support LastPass and shared password management across marketing accounts
Organize marketing files, creative assets, menus, and campaign materials
What We're Looking For
1 to 3 years of experience in marketing, hospitality, events, communications, project coordination, or a related field
Restaurant, hospitality, nightlife, or entertainment experience is a genuine plus
Strong organizational skills and comfort managing multiple projects with overlapping deadlines
Sharp attention to detail and solid proofreading instincts
Clear, professional written and verbal communication
Comfortable following up with different departments and keeping things moving without being pushed
Experience with Asana, Mailchimp, Squarespace, OpenTable, Google Workspace, Canva, ticketing platforms, or LastPass is helpful, not required
Ability to learn new tools quickly and take ownership of recurring tasks ● Must be based in Chicago and available to work on-site
Nice to Have
A degree in Marketing, Communications, or a related field
Prior experience in restaurant, hospitality, nightlife, or live entertainment
Compensation and Benefits
Salary: $50,000 to $55,000, based on experience
