Job Summary

We are seeking a highly organized and proactive Remote Administrative Coordinator to support daily business operations. The ideal candidate is an excellent communicator with strong organizational skills and the ability to manage multiple administrative tasks in a fast-paced remote environment. This role is essential in ensuring smooth coordination across teams and maintaining efficient office operations.

Key Responsibilities

  • Manage calendars, schedule meetings, and coordinate appointments.

  • Organize and maintain digital files, records, and documents.

  • Respond to emails, phone calls, and other correspondence professionally.

  • Prepare reports, presentations, and meeting agendas.

  • Coordinate travel arrangements and expense reports when needed.

  • Assist with data entry, document preparation, and record management.

  • Support onboarding and administrative processes for new employees.

  • Coordinate communication between departments and external stakeholders.

  • Track projects, deadlines, and follow-up tasks.

  • Maintain confidentiality of sensitive company information.

  • Perform other administrative duties as assigned.

Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.

  • Previous administrative, office support, or customer service experience is preferred but not required.

  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Google Workspace.

  • Strong written and verbal communication skills.

  • Excellent organizational and time-management abilities.

  • Ability to multitask and prioritize competing deadlines.

  • Comfortable working independently in a remote environment.

  • Strong attention to detail and problem-solving skills.

Preferred Skills

  • Experience with project management tools such as Asana, Trello, Monday.com, or ClickUp.

  • Familiarity with video conferencing platforms such as Zoom or Microsoft Teams.

  • Basic knowledge of CRM or document management systems.

  • Strong customer service and interpersonal skills.

  • Ability to adapt quickly to changing priorities.
