Pay: $53.99–$73.53 per hour
Work Arrangement: Onsite
Schedule: Monday–Friday, 9:00 AM–5:00 PM

About the Role

We are seeking an experienced and strategic Sr. Workplace Services Specialist to lead the planning and execution of high-impact workplace events and employee experiences across the Pacific Northwest.

This role requires a strong background in corporate events, hospitality, workplace services, and event strategy, along with the ability to manage complex projects, senior stakeholders, vendors, budgets, and cross-functional teams.

The ideal candidate is highly organized, comfortable working with ambiguity, and brings an AI-first mindset to improving event operations, reporting, automation, and scalability.

Key Responsibilities

Strategic Event Delivery

  • Scope, plan, and execute complex, high-impact workplace initiatives and events.
  • Translate ambiguous requirements into structured, executable plans.
  • Lead events that support company culture, employee engagement, and business objectives.
  • Manage a diverse portfolio of events, including cultural events, annual offsites, holiday celebrations, executive briefing center events, business meetings, and training programs.

Operational Excellence

  • Independently manage event and project lifecycles from planning through execution.
  • Develop and maintain dashboards, run-of-shows, timelines, and other inspection mechanisms.
  • Ensure clear communication and seamless execution across all stages of an event.
  • Take ownership of deliverables while anticipating risks and operational needs.

Process Improvement & Innovation

  • Identify opportunities to improve event scalability, reliability, and cost efficiency.
  • Develop standardized processes, SOPs, and event playbooks.
  • Use automation and AI tools to improve reporting, planning, and continuous improvement.
  • Build scalable solutions that can be applied across the regional workplace events program.

Data & Reporting

  • Collect and analyze site-specific event data and performance metrics.
  • Provide insights and recommendations to REWS leadership, business stakeholders, and senior leaders.
  • Track budgets, milestones, risks, and event performance.
  • Develop real-time status dashboards and reports for leadership.

Stakeholder & Communication Management

  • Maintain regular communication with business partners, leadership, vendors, and cross-functional teams.
  • Develop employee-facing communication plans to increase event awareness and engagement.
  • Partner with internal event hosts to ensure experiences align with organizational and business objectives.

Vendor Management

  • Manage vendor relationships and performance.
  • Oversee Food & Beverage program vendors and ensure compliance with established SLAs.
  • Monitor service quality, budgets, and overall experience standards.

Leadership & Mentorship

  • Mentor internal and outsourced team members on operational standards and best practices.
  • Coach team members and peers to deliver high-quality workplace experiences.
  • Foster collaboration, accountability, and operational excellence.

Future Planning

  • Anticipate future workplace and event needs.
  • Maintain an annual roadmap for the Pacific Northwest workplace events strategy.
  • Work closely with inclusion teams, affinity group leaders, and local employees to create inclusive and engaging experiences.

Qualifications

  • 6–8+ years of experience in corporate events, workplace services, hospitality, or a related field.
  • Demonstrated expertise leading complex corporate events and workplace experiences.
  • Experience managing large-scale events, offsites, executive events, meetings, trainings, and employee engagement programs.
  • Strong event strategy, project management, and organizational skills.
  • Experience managing budgets, procurement, vendors, and event management platforms.
  • Proficiency with Google Workspace, Asana, and Slack.
  • Experience with EPOCH, FreshService, and Envoy is preferred.
  • Strong understanding of event operations and workplace services.
  • Experience creating dashboards, reports, SOPs, and scalable event playbooks.
  • Strong stakeholder management and ability to influence senior leaders and cross-functional partners.
  • Demonstrated ability to work independently with minimal supervision.
  • Strong problem-solving and decision-making skills in fast-paced environments.
  • Ability to turn ambiguous requests into clear goals, plans, and deliverables.
  • AI-first mindset with an interest in automation and technology-enabled workplace solutions.
  • Strong commitment to safety, accessibility, inclusion, and employee experience.
  • CPR/First Aid certification required or preferred.
  • Ability to maintain a flexible schedule for occasional evening and weekend events.

The ideal candidate is a highly experienced corporate events and workplace services professional who can strategically plan, execute, and improve complex employee experiences.

You should be comfortable working with senior leadership, managing vendors and budgets, mentoring team members, and using technology, automation, and AI to improve operational efficiency.
