About This Role
We are seeking a highly organized, proactive, and professional Executive Assistant to provide high-level administrative and operational support to senior leadership. This role requires exceptional judgment, discretion, communication skills, and the ability to manage multiple priorities in a fast-paced remote environment.
The Executive Assistant will serve as a trusted partner to leadership, helping coordinate schedules, meetings, communications, projects, and day-to-day administrative activities. The ideal candidate is resourceful, detail-oriented, dependable, and comfortable handling confidential information with professionalism.
What You'll Do
- Provide comprehensive administrative and organizational support to executives and senior leadership.
- Manage complex calendars, appointments, meetings, and scheduling priorities.
- Coordinate virtual and in-person meetings, including agendas, materials, and follow-up actions.
- Prepare correspondence, reports, presentations, spreadsheets, and other executive documents.
- Monitor and organize emails, communications, and follow-up items as needed.
- Coordinate domestic and international travel arrangements, including transportation, accommodations, and itineraries.
- Prepare meeting agendas, take accurate notes, and track action items and deadlines.
- Assist leadership with project coordination and special initiatives.
- Conduct research and compile information to support executive decision-making.
- Maintain confidential records, documents, and sensitive organizational information.
- Coordinate communication between executives, employees, external partners, vendors, and other stakeholders.
- Assist with expense reporting, invoices, reimbursements, and other administrative financial tasks.
- Track deadlines, deliverables, and important commitments to ensure timely completion.
- Help improve administrative systems, processes, and workflows.
- Handle special projects and other responsibilities as assigned by leadership.
What We're Looking For
- 3–5+ years of experience as an Executive Assistant, Administrative Assistant, Office Manager, or similar role.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Demonstrated ability to manage competing priorities and meet deadlines.
- High level of professionalism, discretion, and confidentiality.
- Strong attention to detail and commitment to accuracy.
- Ability to anticipate needs, identify potential issues, and take initiative without constant supervision.
- Proficiency with Microsoft Office, Google Workspace, calendar management, video conferencing, and other common business software.
- Strong interpersonal skills and the ability to work effectively with individuals at all organizational levels.
- Ability to work independently and maintain productivity in a remote environment.
- Strong problem-solving and decision-making skills.
- Professional judgment and the ability to handle sensitive situations appropriately.
Preferred Qualifications
- Experience supporting C-level executives, directors, or senior leadership.
- Experience working in a nonprofit, conservation, environmental, or mission-driven organization.
- Experience coordinating projects and cross-functional initiatives.
- Familiarity with CRM, project management, or document management systems.
- Bachelor's degree in business administration, communications, or a related field is preferred but not required with equivalent professional experience.

Work Environment
This is a remote position requiring reliable internet access, a professional home-office environment, and the ability to communicate effectively through email, video conferencing, messaging platforms, and other digital tools.
