About Palladium Advisors

Palladium Advisors is a growing outsourced accounting and CFO advisory firm serving businesses and financial services companies. We help clients improve their accounting operations, financial reporting, systems, and processes.

We are looking for a QuickBooks Online expert to work with us on a contract basis. This person will become our go-to resource for QuickBooks Online setup, cleanup, optimization, troubleshooting, and process improvement across our client base.

This is not a traditional bookkeeping or accounts payable role. We are looking for someone who understands QuickBooks Online at an expert level and knows how to configure a QBO environment correctly from the beginning.

About the Role

You will work directly with the Palladium Advisors team to set up, optimize, troubleshoot, and improve QuickBooks Online files for our clients.

The ideal candidate is someone who can look at a QuickBooks Online file and quickly identify:

• What is configured incorrectly
• What can be automated
• What the chart of accounts should look like
• How classes, locations, projects, and customers should be structured
• How bank and credit card feeds should be configured
• How to improve reporting
• Where accounting processes can be streamlined
• How to clean up historical accounting issues
• How to build a scalable QBO environment for a growing business

You should be comfortable taking a QBO file from "messy and inefficient" to "clean, organized, and optimized."

Key Responsibilities

QuickBooks Online Setup & Implementation

• Set up new QuickBooks Online companies from the ground up
• Configure company settings, users, permissions, and accounting preferences
• Build and optimize charts of accounts
• Configure classes, locations, projects, customers, vendors, and products/services
• Configure bank and credit card feeds
• Establish appropriate accounting workflows and processes
• Configure recurring transactions and other QBO automation tools
• Assist with migration and conversion projects

QuickBooks Online Optimization

• Review existing QBO files and identify opportunities for improvement
• Clean up and reorganize charts of accounts
• Troubleshoot bank-feed, reconciliation, reporting, and transaction issues
• Improve financial statement presentation and reporting
• Identify unnecessary or duplicate accounts and workflows
• Develop standardized QBO setups and processes for Palladium Advisors clients
• Recommend best practices for bookkeeping and accounting workflows
• Help troubleshoot issues that our internal accounting team cannot resolve

Process & Systems Improvement

• Develop efficient accounting workflows within QBO
• Identify opportunities to automate repetitive accounting tasks
• Help integrate QBO with third-party applications
• Document accounting system configurations and procedures
• Assist with selecting and implementing complementary accounting technology
• Work with the Palladium Advisors team to create repeatable implementation processes

Client Support

• Work behind the scenes with Palladium Advisors' accounting and CFO teams
• Occasionally participate in client calls when your technical expertise is needed
• Explain QBO functionality and recommendations clearly to non-technical users
• Provide practical solutions rather than simply identifying problems

Qualifications

Required:

• 5+ years of hands-on QuickBooks Online experience
• Expert-level knowledge of QuickBooks Online
• Extensive experience setting up and optimizing QBO companies
• Strong understanding of accounting principles and financial statements
• Experience cleaning up and troubleshooting existing QBO files
• Experience configuring charts of accounts, classes, locations, projects, bank feeds, users, and permissions
• Ability to independently diagnose and resolve QBO issues
• Excellent attention to detail
• Strong written and verbal communication skills
• Ability to work independently in a remote environment

Strongly Preferred:

• QuickBooks Online ProAdvisor certification
• Experience working for an outsourced accounting, bookkeeping, or CFO firm
• Experience working with multiple QBO clients simultaneously
• Experience with QBO integrations and third-party accounting applications
• Experience with Bill.com, Ramp, Stripe, Gusto, ADP, Avalara, or similar platforms
• Experience with accounting system migrations and implementations
• Experience building standardized accounting processes across multiple companies

Compensation & Engagement

This is a contract position with project-based work.

Hours will vary depending on client needs and active projects, with approximately 10–20 hours per week initially and the potential for additional work as Palladium Advisors grows.

We are open to working with highly qualified candidates in the U.S. or internationally, provided they have strong English communication skills and reasonable availability during U.S. business hours.

This position is ideal for an experienced QuickBooks Online consultant who wants flexible, recurring contract work rather than a traditional full-time accounting position.
